The name of this organization shall be NorthernVirginia Gamers, hereafter referred to as NOVAG or the club.
NOVAG is a not-for-profit, non-incorporated club organized to promote the knowledge, participation, and enjoyment of table top gaming commonly referred to as wargaming. Wargaming includes miniatures (both historical and fantasy), boardgames, role-playing games (RPGs), and cardgames. NOVAG will promote these by holding weekly gaming sessions, conducting regional Game Days, and sponsoring games at regional and major national conventions.
Section 1: NOVAG is open to all persons. Each member must have access to the internet.
Section 2: Gamers join NOVAG by subscribing to the club yahoo group at https://groups.yahoo.com/neo/groups/NOVAGList/info. Alternatively, gamers may ask to be included in "address books" maintained by club officers. Members are encouraged to use the yahoo group method.
Section 3: Dues - There are no dues.
Section 1: Officers of the club shall be the President, Vice-President, and Treasurer.
Section 2: Officers will be elected for a one year term at an annual meeting of the club.
Section 3: All members of NOVAG at least 18 years old are eligible to hold office.
Section 4: Voting will be done using a secret paper ballot. The members receiving the three (3) highest vote totals will be elected. The newly-elected officers shall decide amongst themselves which office they will hold.
Section 5: Duties of the officers shall be set by the club officers.
Section 6: The club officers may appoint members to a variety of positions as needed. These include but are not limited to: web master, newsletter editor, club representative, convention representative, special event representative, tournament master, Gameday organizer, etc.)
Section 1: The club will hold an annual general membership meeting to elect officers and conduct any other business that club members wish to discuss. The club officers may hold other general membership meetings as necessary.
Section 2: Club members will be notified electronically at least 14 days in advance to any general membership meeting. Such notification will include the date, time, and place of the general meeting.
Section 3: A quorum shall consist of two (2) officers and the attending club members.
Section 1: Funds paid to NOVAG shall be placed in a general fund and managed by the club Treasurer and overseen by the club President. No funds shall be used to the benefit of one person or person(s).
Section 2: Fund raisers shall be managed by at least one (1) club officer and signed off by at least one (1) club member or officer to insure accurate accounting. Funds shall be delivered to the Treasurer to be deposited in the most timely manner.
Section 3: Treasurer balance report shall be provided to the club President monthly or when required.
Section 4: All requests for reimbursement for club related expenses must be made within 60 days of the expenditure and be accompanied by a proper receipt/documentation.
Section 1: In joining NOVAG, the member understands and hereby assumes all risk and hazards of whatever nature to personal injury and holding harmless in whatever activity associated with NOVAG, its officers, and membership. By signing up at the NOVAG message board the member or members guardian agrees with this statement.
Section 1: All by-laws and amendments dated before the ratification of these by-laws are null and void.
Section 2: These by-laws may be amended by a majority vote of the club membership at a general membership meeting as outlines in Section V.
